A paper inbox system that actually works

Three trays and a weekly 15 minutes to stop the kitchen-counter pile.

4 min read

Paper piles up because there's no single place for it to land and no regular time to deal with it. Fix both and the pile disappears.

The setup

  • One inbox tray where all incoming paper goes, without exception
  • One "action" folder for things that need a decision or payment
  • One "to file" folder for things you'll keep
  • A recycling bin and shredder within reach

The weekly 15 minutes

  1. Empty the inbox: recycle junk, shred anything with personal details, move the rest.
  2. Handle the action folder: pay, sign, reply or schedule.
  3. File what's left, or scan it and recycle the paper.

Go paperless where it helps

Switch statements you never read on paper to electronic delivery, and keep an eye on your email for them instead.
